The Opportunity: The Human Resources Administrator – Academic HR serves as the institutional subject matter expert for faculty and academic personnel HR functions while also supporting critical staffing and compensation processes within Talent Acquisition. The position provides comprehensive guidance, consultation, and operational support for academic personnel actions across colleges and units, ensuring compliance with Texas A&M University System (TAMUS) policies, state higher‑education regulations, and institutional standards. Reporting within Talent Acquisition, this role supports staffing actions including offer letters, job changes, salary adjustments, and hiring documentation for academic positions. The Administrator collaborates with the Provost’s Office, Human Resources, Division of Health Sciences, and departmental administrators to ensure accuracy, alignment, and compliance in academic HR operations. The position supervises a small team responsible for academic HR processing and workflow coordination, promoting consistent and effective service delivery. Position is in office at the Stephenville Campus with work hours of Monday to Friday from 8:00am to 5:00pm or as work requirements indicate. Position may require work responsibilities outside of normal business hours. Work hours may vary during peak season. Serves as Campus Security Authority (CSA). Hybrid work options may be available after training period. Essential Duties and Responsibilities Academic HR Operations & Lifecycle Management — 30% Manages faculty and academic personnel actions including hiring, offer letters, appointment letters, onboarding, reappointments, and job changes. Oversees complex faculty processes such as promotion & tenure (P&T), workload adjustments, and academic appointment actions. Ensures academic HR data accuracy and compliance in Workday and related systems Coordinates academic staffing actions requiring alignment with The Texas Higher Education Coordinating Board (THECB), SACSCOC, and TAMUS regulatory requirements Maintains audit‑ready academic personnel files in accordance with state, federal, and System guidelines. Talent Acquisition and Staffing Support — 20% Prepares and processes staff and academic offer letters, ensuring consistency with compensation guidelines and institutional standards. Supports job changes, reclassifications, salary actions, and staffing requests for academic units. Conducts compensation reviews and salary audits for equity, compression, and market competitiveness. Ensures hiring documentation meets state and System requirements for academic roles. Partners with TA to ensure efficient action routing and timely processing for academic searches. Team Leadership & Workflow Oversight— 20% Supervises a team responsible for academic HR operations, delegating tasks, monitoring workloads, and ensuring high‑quality service delivery Provides coaching, performance support, and development opportunities. Establishes priorities and ensures consistent adherence to standards and deadlines. Strategic Support & Process Improvement — 15% Evaluates academic HR and staffing processes and recommends improvements aligned with institutional goals Supports cross‑functional initiatives to streamline academic and staff workflows. Assists with implementation of new HR processes, systems, or compliance requirements. Consultation, Training & Campus Support — 10% Advises deans, department chairs, and academic administrators on academic HR policies, hiring processes, and faculty lifecycle actions Designs and delivers training sessions for academic departments on Workday, recruitment, faculty actions, and lifecycle processes. Maintains guidance materials, manuals, and reference tools for campus partners. Compliance, Communication & Policy Guidance — 5% Ensures adherence to TAMUS policies, institutional procedures, and state/federal regulations. Assists with policy development and revision related to academic and staffing processes. Supports HR leadership with research, analyses, and special projects, including Workday troubleshooting for academic action. Minimum Qualifications Required Education and Experience Bachelor's degree or equivalent combination of education and experience. Seven (7) years of related experience Required Knowledge, Skills, and Abilities Strong working knowledge of academic HR practices, faculty lifecycle processes, and associated regulations. Ability to interpret and apply HR policies and procedures in an academic environment. Proficiency with word processing, spreadsheet, database, and presentation software. Strong interpersonal, communication, planning, and organizational skills. Ability to collaborate effectively with diverse groups and manage multiple priorities. High level of professionalism, confidentiality, and attention to detail. Preferred Qualifications At least three (3) years of academic HR experience Experience with HRIS systems (Workday preferred) and faculty lifecycle processes. Compensation & Benefits Salary: Commensurate with experience Salary Range: The target base annual salary range is $72,870 up to $85,000 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
