The Executive Assistant II provides comprehensive administrative and operational support to the Division of Finance & Administration. This role is responsible for performing a wide range of duties in support of the office of the Executive Vice President, including HR transaction processing in Workday (onboarding, offboarding, and data maintenance), purchasing and invoice processing in TexanBuy, inventory tracking and property transfers in Canopy, travel coordination and expense reporting in Emburse, and general calendar and event management. The position also manages correspondence, maintains office records, assists with planning and logistics for meetings and events, supervises student employees, and ensures a professional and welcoming front office presence. This position requires a high degree of professionalism, discretion, and the ability to coordinate with internal departments and external stakeholders. The Executive Assistant plays a key role in supporting the daily operations and strategic priorities of the division through effective communication, organization, and attention to detail. This is an on-site position located at Tarleton State University’s Stephenville, Texas campus. Work hours are generally Monday through Friday; 8 AM-5 PM or as work requirements indicate. Serves as Campus Security Authority (CSA). Responsibilities: 30% Provides administrative support to the Finance & Administration Division, performing tasks such as human resources related items in Workday for on-boarding, off-boarding, and data maintenance, completing purchasing tasks for requisitions, PO, non-PO, and invoices for the Division in TexanBuy, maintaining inventory and creating property transfers in Canopy, maintaining calendars and appointments, travel arrangements,  expense card reports in Emburse, as well as event planning for the division. Represents the division with professionalism to both internal and external constituents. 25% Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel. Prepares travel arrangements and itineraries, and may approve and process travel reimbursements. 15% Compiles reports, maintains records and other documents, and coordinates special events. Evaluates documents submitted for administrator’s signature. Provides support for planning and scheduling activities. 10% Serves as receptionist for the Division of Finance & Administration, greeting visitors to the office and by phone. 10% Maintains supply inventory and equipment service agreements, and oversees record retention plan for office documents. 5% Responsible for the supervision of Office of Finance & Administration student employees. 5% Provides assistance to departments within the division, as needed, contributing to the overall success of the Division. Minimum Requirements Required Education and Experience: Bachelor’s degree in applicable field or equivalent combination of education and experience. Four years of related administrative experience. Required Knowledge, Skills and Abilities: Knowledge of word processing, spreadsheet, and presentation applications. Interpersonal and communication skills. Planning and organizational skills. Ability to multitask and work cooperatively with others. Compensation & Benefits Salary: Commensurate with experience Salary Range: The target base annual salary range is $49,000 up to $68,330.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
