Job Title Administrative Coordinator II Agency Texas A&M University Department Dean Of College Of Architecture Proposed Minimum Salary $3,750.00 monthly Job Location College Station, Texas Job Type Staff Job Description A Glimpse of the Job   The Administrative Coordinator II coordinates administrative support for the Executive Associate Dean (EAD), the EAD team, and with the implementation of the College of Architecture’s strategic plan. This position provides high‑level administrative support to the Executive Associate Dean, managing daily operations that include scheduling, travel coordination, event planning, and correspondence. The role also supports the Dean’s Office by maintaining internal procedures, organizing records, and assisting with faculty affairs, while overseeing college‑level awards and endowed position processes from nomination through committee review. The ideal candidate will excel in organization, communication, and managing complex administrative workflows in a dynamic academic environment.   What You Need to Know Salary: $45,000–$65,000/annually Special Instructions: A cover letter, resume, and contact information for three professional references (to include at least one previous supervisor) are strongly recommended. Qualifications Required Education and Experience:   Bachelor's degree or equivalent combination of education and experience. Three years of experience in office administration. Preferred Education and Experience: Experience in higher education Five or more years of experience in office administration Experience supporting Dean level positions and/or C-Suite positions Ability to implement best-practice data collection and management Project coordination experience Experience with university awards and/or endowed position administration. Essential Duties/Tasks Executive Associate Dean Support Provides direct administrative support to the EAD by coordinating and executing administrative operations. Coordinates travel arrangements, itineraries, and expense reports. Plans and coordinates meetings, seminars, and other special events. Manages room reservations, calendar invites, catering, and room set-up/break-down to include basic technology support. Coordinates conference room schedules. Plans, coordinates, and arranges logistics for events in collaboration with the College’s Event Coordinator. Prepares and takes minutes at meetings. Attends meetings or committees on behalf of supervisor. Manages, receives, and prepares correspondence. Reviews and signs documents for supervisor. Dean's Office Support Supports the EAD’s office through the planning and execution of administrative operations. Develops, evaluates, and ensures adherence to internal office infrastructure procedures. Coordinates and maintains internal data and file organization. Supports the development of college-level guidelines and protocols. Coordinates and organizes office records retention and maintains office references and resource materials. Supports faculty affairs tasks as needed. May train, supervise, assign tasks, and evaluate student workers as needed.   Awards and Endowed Position Administration Manage awards for the college by tracking deadlines, issuing calls for nominations, and collecting and reviewing nomination packages. Coordinates and arranges for the awards committee to review all nominations, prepares reports on the final outcomes, and records this information. Collects and tracks college awards data and records the information in an internal tracking system. Supports the EAD by administering the endowed position appointments by issuing calls for nominations for open positions, collecting and reviewing nominations packages. Coordinates and arranges for the endowed position advisory committee to review all nominations, prepares reports on the final outcomes, and records this information.
