Department/Unit: Laboratory Admininstration Work Shift: Day (United States of America) Salary Range: $47,921.64 - $71,882.46 The Administrative Coordinator supervises the day-to-day operations of the Laboratory Administration office and provides administrative support and assistance to the System Administrative Director Laboratory and Pathology Services primarily with secondary support for the Managers, Supervisors and Department Specific Directors. General responsibilities include scheduling and coordinating meetings and travel arrangements, developing and maintaining databases, typing and maintaining standard operating procedures (SOPs), composing, typing and distributing correspondence (e.g., meeting minutes), answering the telephone and greeting visitors. The position requires general knowledge of Microsoft Office programs and the exercise of independent judgement with minimal supervision. Other critical aspects include project management, management of supplies and resources, administrative oversight of staffing issues including hiring, competency assessment, and developmental and corrective actions. ESSENTIAL DUTIES AND RESPONSIBILITIES: Include but not limited to the following: Use effective written and verbal communication skills to cooperatively work with customers, visitors, vendors and employees such as laboratory staff, supervisors, physicians and co-workers. Demonstrate knowledge of proper grammatical usage, punctuation, and spelling. Organize logistics of special events; coordinate travel arrangements, retreats, and/or departmental special events; prepare itineraries and organize related travel arrangements for on-site and off-site conferences, meetings and events. Serve as an advisor and mentor for co-workers, staff and students. Copy, mail, distribute and file final copies of Reports. Listens well, takes direction and engages in interactive dialogues with others. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty as outlined. EDUCATION, LICENSURE, REGISTRATION AND/OR CERTIFICATION Associate or bachelor’s degree from a secretarial or office administration program (preferred). EXPERIENCE: Three years of related experience. COMMUNICATION SKILLS: Ability to: Use effective written and verbal communication skills to cooperatively work with customers, visitors, vendors and employees such as laboratory staff, supervisors, physicians and co-workers. Demonstrate knowledge of proper grammatical usage, punctuation, and spelling. Serve as an advisor and mentor for co-workers, staff and students. Listen well, take direction and engage in interactive dialogues with others. Seek the input of others to achieve consensus. Comprehend, remember and carry out complex instructions. Conduct telephone and personal inquiries to any of the laboratory’s customers with courtesy, respect and confidentiality. Communicate status of projects and prospectively identify potential resource or material limitations. List and document all development activities including failed efforts. Develop and maintain an effective and productive work culture. Share organizational goals, objectives, strategic plans and other information with staff in a timely and effective manner. Communicate staff concerns and issues with laboratory and/or hospital administration. Focus on the customer. Work to establish directions and plans for providing products and services based upon what customers want.
