Let’s be #BrilliantTogether Overview The Administrative Assistant plays a crucial role in supporting day-to-day operations by efficiently managing administrative tasks. This role is essential in maintaining a well-organized and efficient office environment. Responsibilities Coordinate travel arrangements (travel reservations and accommodations). Provides administrative support for approximately 900 staff working on traditional and non-traditional shift schedules. Collecting and sending of invoices to AP team for payment processing. Scheduling and monitoring of conference room reservations. Coordinate external and internal event management, including sourcing and booking venues, collation of participation lists & related material, preparation and distribution of documentation & invitations and liaise with team members through to completion of event. Coordination of relocation and temporary accommodation arrangements. Liaise with the Leadership Team and Office Heads on issues and concerns pertaining to office matters. Maintain contract files and list for vendors. Oversee daily operations including maintenance and upkeep of the facilities. Maintain the inventory of stocks and replenishment of office and pantry supplies. Provide back up support for the reception desk. Other ad hoc projects and duties as advised by reporting manager. Qualifications Bachelors’ Degree in Business or related course Preferably with experience in Admin tasks/admin related work Preferably with OSH experience Strong communication and presentation skills Knowledge and experience in using MS-Office applications (Excel, Word, PPT) Ability to work within a team-oriented environment Ability to work under tight deadlines Must be flexible to work overtime Strong organizational skills and ability to prioritize multiple tasks Willing for 4-day onsite work and 1-day work from home.
