Scheduled Hours 37.5 Position Summary This position is responsible for managing the budgeting, financial reporting and analysis, and accounting operations to ensure compliance and accurate reporting in support of the departments at the Brown School. Job Description Primary Duties & Responsibilities: Financial Reporting Oversee Financial Analysts’ preparation and distribution of financial reporting packages to Associate Deans and Directors for all Brown School departments, reviewing reports before distribution for accuracy, analytical content, and relevance to departments’ operations. Work with Financial Analysts and department stakeholders to evaluate departments’ reporting needs and identify opportunities to expand standard financial reporting on restricted and unrestricted funds.  Remain educated in new applications to ensure effective and efficient delivery of information. Lead quarterly meetings with Associate Deans and Directors to discuss issues/initiatives with budgetary impacts and communicate department’s financial and budget status. Work with personnel to prioritize expenditures and identify opportunities for savings to meet unanticipated needs without exceeding their annual budget. Budgeting and Forecasting Manage Annual Budget Submission. Advise and guide Financial Analysts, Associate Deans and Directors on University and School budget guidelines to ensure budgets are in compliance with policies and are in alignment with Brown’s strategic goals. Manage entry and balancing of the departments’ budgets in the School’s budget workbook and balancing of the departments’ budgets into the University’s budget system.  Work with CFU and central IT to resolve system issues and other discrepancies. Ensure the current budget in the Workday is updated once the departments’ budgets are approved by the Dean. Prepare and deliver supporting schedules including variance explanations Financial Operations Oversee Brown's document processing needs related to accounts payable, accounts receivable, procurement, and contracts to ensure timely payments, compliance with WashU and school policies, and accurate classification to improve reporting.  Review and approve unrestricted and restricted transactions at Brown for compliance with Brown and University policies and provide Cost Hierarchy approval on all Brown transactions when required. Work with departments to establish and maintain acceptable business practices and effective internal controls regarding purchases, tax, travels, policies and procedures, and document submissions. Establish processes to periodically review and test controls. Liaise with senior management and departments to ensure alignment with school goals and strategic objectives. Review/evaluate school-wide purchasing activities to ensure efficient use of Brown's resources and identify potential streamlined processes and policy update needs. Provide guidance and training to direct reports and new employees on University and Brown School systems, policies and procedures.  Personnel Management Hold weekly one-on-one meetings with direct reports to discuss current work-related issues.  Work with direct reports to create individual personal development plans and provide guidance to ensure successful performance.  Provide learning opportunities for direct reports to expand their knowledge and skill set using both internal and external resources. Perform formal annual reviews and informal semi-annual reviews to give direct reports feedback on their performance, identifying strengths and opportunities for improvement.   Perform other duties as assigned.
